Email and collaboration group management

Lets designated staff update email and collaboration groups without needing full IT administrator access.

Why it was needed

Routine changes to distribution lists and collaboration groups were creating unnecessary administrator work.

Security & access

What changed

The tool lets approved owners sign in, see only the groups they are responsible for, and review and apply membership changes without receiving wider directory access.

Key requirements

A signed-in owner sees only the groups they are authorized to maintain. Protected lists and nested groups stay outside the editing path. Expired sessions stop changes, and every add or removal is checked against the directory response before the interface reports success. The system also sends email notifications about membership changes.

Main features

  1. Authenticate approved users
  2. Show the groups each owner can manage
  3. Manage distribution-list membership
  4. Manage collaboration groups
  5. Stop changes when a session expires
  6. Send email notifications about membership changes

Result

Moved routine group maintenance to accountable owners without broad admin access.
