The business was using an outdated subscription-based ticketing system with an unclear interface and too little flexibility to match its maintenance, hospitality, and IT work.
Requests now enter one customized system through QR codes, email, an AI-answered phone call, or direct entry. During a call, the assistant speaks with the caller, collects the useful context, and creates the ticket. Each path preserves the available location, equipment, requester, description, photographs, and supporting files, then routes the ticket through the workflow used by the responsible team.
The people using the system already know how their work should flow. Instead of forcing them into a generic help-desk template, statuses, priorities, categories, assignments, checklists, notifications, shared views, equipment records, parts, reports, and recurring procedures are shaped around their ways of working. The live system is reviewed with users every week to identify unnecessary steps and improve how important work is shown.
